OPERATIONS, SAFETY and HUMAN RESOURCES ADMINISTRATOR

Position Overview:

Under direction of the Environmental Health and Safety Manager, the incumbent performs a wide range of administrative duties independently or part of a team.  Under guidance of the Environmental Health and Safety Manager, assists in the administration, implementation and maintenance of the AWN, AEC, and ADC Safety Programs.  Activities performed may include, but are not limited to, meeting coordination, report preparation, presentations, correspondence, travel arrangements, site inspections, equipment & PPE maintenance.

 

Duties:

Operations Administration:

  • Direct callers to the appropriate person or service and provide general information in person and by phone.
  • Schedule appointments and update calendars.
  • Plan and prepare meetings, conferences, and conference calls and take detailed minutes.
  • Provide general information to staff, clients and the public regarding company policies and procedures.
  • Make travel arrangements and reservations for employees.
  • Coordinate office space allocations, including phones and computers for department personnel.
  • Develop and maintain filing systems to meet operational requirements.
  • Co-ordinate operational training requirements as directed by the Environmental Health and Safety Manager.
  • Create operational spreadsheets and presentations.
  • Provide operational statistical and budget reports.
  • Prepare and maintains word documents, spreadsheets, and reports as directed.
  • Research and abstract information and supporting data in preparation for meetings, work/special projects, reports, and presentations.

Safety/Human Resources Administration:

  • Conduct onboarding of new hires and sub-contractors in accordance with established procedures.
  • Draft regular correspondence including letters, memos, reports, and presentation materials ensuring final review of correspondence by the Environmental Health and Safety Manager or Human Resources Manager.
  • Draft and complete updates of the Safety manuals and HR Policy and Procedure manual in consultation with the Environmental Safety Manager and Human Resources Manager.
  • Assist Human Resources Manager in the recruitment and selection process by posting employment opportunities, conducting reference checks, and booking of alcohol and drug screenings.
  • Develop and maintain filing systems to meet Safety and Human Resources requirements.
  • Create safety spreadsheets and presentations.
  • Track and report on the receipt of monthly location safety meeting minutes and inspections.
  • Provide safety statistical and budget reports.
  • Complete inspections as directed by Environmental Health and Safety Manager to enforce the company Safety Program, ensuring PPE is on site and in use.
  • Replenish required safety materials and supplies as required.
  • Co-ordinate safety training requirements in consultation with the Environmental Health and Safety Manager.
  • Assist the Environmental Health and Safety Manager and the Human Resources Manager with the Injury Management and Return to Work processes.

Standard Safety Responsibilities:

  • Take required safety training, such as WHMIS, First Aid, etc. as directed by management.
  • Wear appropriate and required personal protective equipment (PPE).
  • Advise co-workers on how to avoid unsafe practices.
  • Report and correct unsafe conditions.
  • Report all incidents and injuries.

Qualifications:

  • Completion of secondary school is preferred, post-secondary education or certification in business administration or a related field is an asset.
  • Completion of the Alberta Construction Association Health and Safety Administrator Program preferred.
  • Experience in a fast-paced office environment is desirable.
  • Excellent knowledge of Microsoft Office.
  • Must be flexible, able to work independently, in teams, and able to manage their time accordingly.
  • Ability to keep strict confidentiality and understand and follow company policies and procedures.
  • Ability to deal with the public and colleagues in a positive, courteous, and respectful manner.
  • A combination of related experience and training may be considered.
  • Mandatory Drug and Alcohol testing.
  • Class 5 Driver’s License with a clean abstract.

Physical Demands:

The position is primarily sedentary with occasional lifting up to ten pounds.

Mental Demands:

There may be multiple demands for the incumbent’s attention during the day. The incumbent will need to practice self-management techniques to address the pressures that go along with the responsibility of this position.
